2The photos we need

Good photos are the difference between finding you and missing you.

  • Just you in the photo — no one else
  • Your whole face visible and in focus
  • Mostly looking at the camera, plus one or two turned slightly left or right
  • Good light — daylight by a window is ideal
  • Recent — how you looked at the event
  • No sunglasses, caps, or hands over your face
  • No filters, heavy edits or blurry shots
  • No group photos, and no photos of a screen or print
5 photos without a mask *0/5
3Were you wearing a face mask in any of the event photos?
4Consent
Your data & privacy (UK GDPR)

Who we are. [Data controller — organisation name] is the data controller. Contact: [privacy contact email].

What we collect. Your name, email address, SID and the photos you upload. From the photos, our software makes a numerical “face template” — this is biometric data, a special category of personal data under UK GDPR.

Why. Only to find you in the photos and videos from the event and share them with you. We do not use your photos for anything else, and we never use them to train AI models.

Lawful basis. Your explicit consent (UK GDPR Article 6(1)(a) and Article 9(2)(a)), given with the tick boxes on this form.

Where it is kept. Photos go from your phone to private storage in London (Vercel, UK region), are moved within minutes to a BAPS computer in London, and are then deleted from the cloud. Location data (GPS) is removed from your photos. Only the BAPS media team running the search can see them; they are not sold or shared with anyone else.

How long. Your photos and face template are deleted 30 days after we send you your matched photos.

Your rights. You can ask to see, correct or delete your data, and withdraw your consent at any time by emailing [privacy contact email]. If you withdraw, we stop processing and delete your photos and face template; this does not affect searches already made. You can also complain to the Information Commissioner’s Office (ico.org.uk).
